What a tour operator needs from its booking system

Most operators sell the same departure on two or three marketplaces and take direct bookings by phone or WhatsApp on top. The hard part is not storing bookings. It is keeping one honest count of seats while three channels sell at once, and making sure the guide at the meeting point knows who is coming.

GetYourGuide and Viator, connected directly

The marketplaces do not need a person copying bookings across. With a direct connection, GetYourGuide and Viator ask the system for live availability, hold seats while the traveller pays, and then confirm or cancel. Each tour is mapped once to its GetYourGuide and Viator product ID, so every incoming booking lands on the right departure.

One seat pool, so nothing is oversold

Availability rules generate the departures, and every seat is counted in a single place. A seat held for a Viator traveller who is still paying cannot be sold on GetYourGuide at the same moment. That is a deliberate engineering decision, and it is what keeps a full Saturday as correct as a quiet Tuesday.

Each booking gets a QR ticket, and the system records when it is used. The guide covering a tour gets a WhatsApp message for every new booking or cancellation, and at 20:00 every evening a summary of tomorrow's departures. The web panel has three roles, Admin, Operator and Guide, so each person sees only what their job needs.

  • Can I use GVS Collector, or do you only build custom systems?
    Both. GVS Collector is running in production, so the fastest route is to configure it for your tours, channels and guides. If your operation needs something it does not do, we build a system around your workflow instead. We decide which path fits after a short call.
  • How does the GetYourGuide and Viator connection work?
    Both marketplaces offer suppliers a direct reservation connection. Once it is active on your supplier account, they check availability in the system, hold seats while the traveller pays, and confirm or cancel the booking. We handle the technical side and map each of your tours to its product ID on each channel.
  • How do you prevent overbooking across channels?
    Every channel books against one seat pool. A seat held for a traveller who is paying on one marketplace is unavailable to the others until the booking is confirmed or the hold is released.
  • How are guides notified?
    On WhatsApp. The guide covering a tour gets a message for each new booking or cancellation, and at 20:00 every evening a summary of the next day's departures.
  • Can you add fiscalization for direct bookings in Albania?
    Yes. For operators who issue fiscal invoices in Albania, we connect fiscalization through VOS, our Albanian fiscalization and accounting platform. Fiscalization is limited to Albania (plus Italy's SdI/FatturaPA).
  • How much does it cost?
    It is quoted after a short call, because setting GVS Collector up for your tours is a different job from building a system to your workflow. Development is billed at EUR 35-55/hr, with a fixed price per well-defined scope.
